ClubCourts - Privacy Policy

Welcome to ClubCourts, the platform for live scoring, tournament management, and an AI-powered rules chatbot for tennis. At ClubCourts, we are committed to ensuring the privacy and security of your personal information. This Privacy Policy explains how we collect, use, and protect data. By using our app and services, you agree to the practices set out in this policy.

2. Information We Collect

2.1 Personal Information

  • When creating an account, we collect your name, email address, and in some cases a profile photo.
  • To subscribe to a plan and – where offered – to pay for court reservations, payments are processed through our payment provider Stripe. Full credit card details are handled directly by Stripe and are not stored on our servers.
  • In our apps for iOS and Android, you buy subscriptions through Apple's App Store or Google Play. Apple or Google process the payment under their own responsibility and handle your payment details in accordance with their own privacy policies; we do not receive any payment details. We use RevenueCat to manage these subscriptions. RevenueCat only receives a pseudonymous identifier of your ClubCourts account and your purchase history (the subscription purchased, its term and its status), but not your name or email address.

2.2 Usage Data

  • We collect data about how you use ClubCourts, including your matches and tournaments, preferences, and interactions with the app. If you use the booking feature, this also includes your booking history.
  • Information about your device, such as device type, operating system, and browser type, may be collected to improve your user experience.
  • To send you push notifications, our iOS and Android apps store a device identifier (on Android the Android ID, on iOS the identifier for vendor), the push token issued by Firebase Cloud Messaging, the device model, the operating system version and the app version, linked to your account. A token that is no longer valid is removed automatically; all of it is deleted with your account.

2.3 Scoreboard and Match Data

  • When using ClubCourts-compatible scoreboards or the ClubScore app, we collect device identifiers (serial numbers) for registration and assignment purposes.
  • Match scores, including set and game results, match times, and associated player names, are stored to provide you and your club with match history and live scoring.
  • Scoreboards can be assigned to a club or to your personal profile.

2.4 Rules Chatbot Data

  • When you use the AI rules chatbot, we store the questions you ask and the associated chat history so you can access previous conversations.
  • To answer your questions, they are sent to and processed by specialized AI service providers (Anthropic for answer generation and Voyage AI for retrieval). Please do not enter sensitive personal data into the chat.
  • You can also dictate a question instead of typing it. The app asks for permission to use the microphone and speech recognition first. Your speech is converted to text by the speech recognition service of your device's operating system (from Apple or Google), which may process the audio on its own servers under its provider's terms. We receive and store only the transcribed text, never the audio.

2.5 Server logs

  • When you visit our website, our web server automatically records technical details of each request: IP address, date and time, the page requested, the HTTP status, the amount of data transferred, the referring page, and your browser and operating system. This recording is technically necessary to run a website and cannot be switched off.
  • We use these logs to operate the service, to narrow down faults, and to detect and defend against attacks or misuse. The basis for this is our legitimate interest in secure and reliable operation.
  • The logs are rotated and deleted at regular intervals. We do not combine this data with your account and do not build profiles from it.

2.6 Audience measurement

  • We use Cloudflare Web Analytics to measure the reach of our website. It records page views, referring pages, country, device type and technical load times.
  • The measurement works without cookies and without any other storage on your device. No identifier is assigned that would make you recognisable across visits, and the data is not combined with your account.
  • We also count how often certain buttons on the website are used — submitting the contact form, for example. All that is stored is a daily counter per button, with no connection to individual visitors.

2.7 Bot protection (Cloudflare Turnstile)

  • To protect account sign-up, sign-in and password reset in our apps, as well as the contact form on our website, against automated abuse, we use Cloudflare Turnstile. Turnstile runs invisibly in the background and does not require you to solve a puzzle.
  • To tell humans and bots apart, Turnstile evaluates technical signals from your browser and device (such as your IP address and browser characteristics) on Cloudflare's servers. We only receive the result of the check, not the underlying signals. Cloudflare processes this data solely for bot detection and does not use it for advertising or cross-site tracking.
  • Details on Cloudflare's processing are described in the Cloudflare Turnstile Privacy Addendum.

2.8 Crash reports (Firebase Crashlytics)

  • If our iOS or Android app crashes or runs into an unexpected error, it sends a crash report to Firebase Crashlytics, a service of Google. The report contains the technical course of the error (stack trace), the device model, the operating system and app version, the time, and a random identifier of the app installation.
  • Crash reports are not linked to your name, your email address or your ClubCourts account. We use them only to find and fix errors, on the basis of our legitimate interest in an app that works reliably.

3. How We Use Your Information

We use your information for the following purposes:

3.1. Providing Services

  • To enable live scoring, the organization of and participation in tournaments, and – where offered – the booking of courts.
  • To answer your questions via the AI rules chatbot.
  • To process subscriptions and payments.
  • To display match scores on scoreboards and store them in your match history.

3.2. Personalization

  • To personalize your experience in the app, including relevant recommendations and sending notifications relevant to your preferences.

3.3. Communication

  • To send transactional messages such as subscription confirmations, match and tournament updates, reminders, and important notices related to ClubCourts.
  • To respond to your inquiries and concerns in customer support.

3.4. Analytics

  • To analyze user behavior, monitor app performance, and improve our services, we use Firebase Analytics (Google Analytics for Firebase). You can disable this collection at any time under Account → Privacy in the app.
  • We also keep a minimal first-party record of the days on which you use the app (not your in-app actions) to produce aggregated usage statistics (e.g. active users, retention) for us and, in aggregate form, for your club. This operational data is processed on the basis of our legitimate interest in running and improving the service and is not shared with advertisers.

4. Data Sharing

We may share your information in the following situations:

4.1. With Clubs and Other Participants

  • Your name and your match and tournament scores may be visible to the players involved, to spectators (e.g. via a shared live link or QR code), and to the respective club.
  • For court reservations, your name and booking details may be shared with the relevant club for verification purposes.

4.2. Legal Compliance

  • We may disclose your information when required by law to protect our rights or to comply with legal proceedings.

4.3. Third-Party Service Providers

  • We use carefully selected third-party providers that process your data solely to deliver their service, including: Stripe (payment processing), RevenueCat (management of subscriptions bought in the apps through the App Store or Google Play), Anthropic and Voyage AI (AI rules chatbot), Supabase (hosting and database), KreativMedia (website hosting), Cloudflare (bot protection for sign-in and the contact form, and audience measurement), and Firebase (push notifications, analytics and crash reports).

4.4. Transfers Abroad

  • Supabase stores the database of our apps in data centres in Switzerland and the EU; KreativMedia hosts our website in Switzerland. Under Swiss law, EU and EEA countries provide an adequate level of data protection.
  • Stripe, RevenueCat, Anthropic, Voyage AI, Cloudflare and Google (Firebase) are based in the United States and may process your data there. Supabase is also a company based in the United States.
  • Where a recipient in the United States is certified under the Swiss-U.S. Data Privacy Framework (for data from the EU: the EU-U.S. Data Privacy Framework), its level of data protection is considered adequate. Otherwise, we base the transfer on the European Commission's Standard Contractual Clauses, with the amendments required for Switzerland, which form part of our data processing agreements with these providers.
  • The data processing agreements of these providers and, where applicable, their certification under the Data Privacy Framework are publicly available. On request to info@clubcourts.com, we will send you the relevant links.

5. Data Security

We use industry-standard security measures to protect your data from unauthorized access, disclosure, or alteration. Please note, however, that no method of data transmission over the Internet or electronic storage is completely secure.

6. Your Rights

You have the following rights:

6.1. Access and Correction

  • You can access, correct, or update your personal information in your ClubCourts account settings.

6.2. Opt-Out

  • You can opt out of promotional communications by adjusting your notification settings.

6.3. Deletion of Match Data and Chat History

  • You can delete individual match scores from your match history as well as your chatbot conversations.

6.4. Deletion of Your Account

  • You can delete your account at any time in the app or in the web app under Account → Profile → Edit → Delete account, or ask us to delete it by email to info@clubcourts.com. We then delete your account without undue delay.
  • Which data is deleted, which is kept and why, and why you have to cancel a subscription separately, is explained on our page Delete your account.

7. Children's Privacy

ClubCourts is not intended for users under 16 years of age. We do not knowingly collect personal information from children under 16. If you are a parent or guardian and believe your child has provided us with personal information, please contact us, and we will take steps to remove that information from our systems.

8. Changes to this Privacy Policy

We may update this Privacy Policy to reflect changes to our practices or for other operational, legal, or regulatory reasons. We will notify you of material changes through the app or by other means. Your continued use of ClubCourts after such updates constitutes your consent to the updated policy.
