ClubEntry - Privacy Policy

Welcome to ClubEntry, the link-based platform for private event invitations. At ClubEntry we are committed to protecting the privacy and security of your personal information. This Privacy Policy explains how we collect, use, and protect data. By using our app and services, you agree to the practices described in this policy.

2. Information We Collect

2.1 Host Account Data

  • When you create an account, we collect your first and last name and your email address. If you sign in with Google or Apple, we receive your name and email address from those providers to create your account.
  • To pay out collected entry fees, additional identity and account verification details are processed via Stripe Connect. These are collected directly by Stripe and are not stored on our servers.

2.2 Guest and Friend Data

  • When a host invites you, we process the contact details the host records (first and last name, phone number, and — where provided — email address) in order to deliver your invitation link and manage your sign-up.
  • When you add a friend as a guest, we record their name and contact details so they can be invited and pay for entry.
  • Hosts are responsible for the lawfulness of the guest data they record; ClubEntry processes this data on the host's behalf.

2.3 Event and Sign-up Data

  • We store the event content hosts create (title, descriptions, candidate dates, photos, and videos) as well as sign-ups, date votes, and ticket and admission information.
  • Information about your device, such as device type, operating system, and browser type, may be collected to improve your experience.

2.4 Payment Data

  • Entry payments are processed through Stripe. We store the payment status and amount to confirm your sign-up and enable the host's payout. Full card details are handled exclusively by Stripe.

3. How We Use Your Information

We use your information for the following purposes:

  • To enable the organisation of events, the sending of personal invitation links, date voting, sign-ups, and admission by ticket.
  • To process entry payments and make payouts to hosts.
  • To provide you with transactional messages (such as invitations, confirmations, payment requests, reminders, and tickets) by email or as a WhatsApp message sent by the host.
  • To ensure the operation of the platform, prevent abuse, and improve our services.

4. Data Sharing

4.1 With Hosts and Other Participants

  • Your name and sign-up status are visible to the host of the respective event. At admission, your ticket is checked by the host or a person the host delegates.
  • Event content shared by hosts (e.g. photos and videos in the gallery) is visible to the authorised participants of the event.

4.2 Legal Compliance

  • We may disclose your information where required by law, to protect our rights, or to comply with legal proceedings.

4.3 Third-Party Service Providers

  • We use carefully selected third parties that process your data solely for the purpose of providing their service, including: Stripe (payment processing and payouts), Supabase (hosting, database, and storage), and Resend (sending emails). When a host sends invitations via WhatsApp, this happens through your respective WhatsApp provider.

5. Data Security

We use industry-standard security measures to protect your data from unauthorised access, disclosure, or alteration. Access to event and guest data is restricted to the respective host through access rules. However, please note that no method of transmitting data over the internet or of electronic storage is completely secure.

6. Retention

We retain your data for as long as necessary to provide the service. Hosts can delete events and their associated data. Payment-related records may be retained longer for legal and accounting reasons.

7. Your Rights

7.1 Access and Correction

  • You can access, correct, or update your personal information. As a guest, please contact the respective host to correct the data the host recorded.

7.2 Deletion

  • You can request the deletion of your account and personal data. To do so, contact us at the address below.

8. Children's Privacy

ClubEntry is not directed at users under 16 years of age. We do not knowingly collect personal information from children under 16. If you are a parent or guardian and believe your child has provided us with personal information, please contact us and we will take steps to remove that information.

9. Changes to This Privacy Policy

We may update this Privacy Policy to reflect changes in our practices or for other operational, legal, or regulatory reasons. We will inform you of material changes via the app or by other means. Your continued use of ClubEntry after such updates constitutes your acceptance of the updated policy.
