Welcome to ClubCourts, the platform for live scoring, tournament management, and an AI-powered rules chatbot for tennis (and golf in the future). At ClubCourts, we are committed to ensuring the privacy and security of your personal information. This Privacy Policy explains how we collect, use, and protect data. By using our app and services, you agree to the practices set out in this policy.

2. Information We Collect

2.1 Personal Information

  • When creating an account, we collect your name, email address, and in some cases a profile photo.
  • To subscribe to a plan and – where offered – to pay for court reservations, payments are processed through our payment provider Stripe. Full credit card details are handled directly by Stripe and are not stored on our servers.

2.2 Usage Data

  • We collect data about how you use ClubCourts, including your matches and tournaments, preferences, and interactions with the app. If you use the booking feature, this also includes your booking history.
  • Information about your device, such as device type, operating system, and browser type, may be collected to improve your user experience.

2.3 Scoreboard and Match Data

  • When using ClubCourts-compatible scoreboards or the ClubScore app, we collect device identifiers (serial numbers) for registration and assignment purposes.
  • Match scores, including set and game results, match times, and associated player names, are stored to provide you and your club with match history and live scoring.
  • Scoreboards can be assigned to a club or to your personal profile.

2.4 Rules Chatbot Data

  • When you use the AI rules chatbot, we store the questions you ask and the associated chat history so you can access previous conversations.
  • To answer your questions, they are sent to and processed by specialized AI service providers (Anthropic for answer generation and Voyage AI for retrieval). Please do not enter sensitive personal data into the chat.

2.5 Server logs

  • When you visit our website, our web server automatically records technical details of each request: IP address, date and time, the page requested, the HTTP status, the amount of data transferred, the referring page, and your browser and operating system. This recording is technically necessary to run a website and cannot be switched off.
  • We use these logs to operate the service, to narrow down faults, and to detect and defend against attacks or misuse. The basis for this is our legitimate interest in secure and reliable operation.
  • The logs are rotated and deleted at regular intervals. We do not combine this data with your account and do not build profiles from it.

2.6 Audience measurement

  • We use Cloudflare Web Analytics to measure the reach of our website. It records page views, referring pages, country, device type and technical load times.
  • The measurement works without cookies and without any other storage on your device. No identifier is assigned that would make you recognisable across visits, and the data is not combined with your account.
  • We also count how often certain buttons on the website are used — submitting the contact form, for example. All that is stored is a daily counter per button, with no connection to individual visitors.

3. How We Use Your Information

We use your information for the following purposes:

3.1. Providing Services

  • To enable live scoring, the organization of and participation in tournaments, and – where offered – the booking of courts.
  • To answer your questions via the AI rules chatbot.
  • To process subscriptions and payments.
  • To display match scores on scoreboards and store them in your match history.

3.2. Personalization

  • To personalize your experience in the app, including relevant recommendations and sending notifications relevant to your preferences.

3.3. Communication

  • To send transactional messages such as subscription confirmations, match and tournament updates, reminders, and important notices related to ClubCourts.
  • To respond to your inquiries and concerns in customer support.

3.4. Analytics

  • To analyze user behavior, monitor app performance, and improve our services, we use Firebase Analytics (Google Analytics for Firebase). You can disable this collection at any time under Account → Privacy in the app.
  • We also keep a minimal first-party record of the days on which you use the app (not your in-app actions) to produce aggregated usage statistics (e.g. active users, retention) for us and, in aggregate form, for your club. This operational data is processed on the basis of our legitimate interest in running and improving the service and is not shared with advertisers.

4. Data Sharing

We may share your information in the following situations:

4.1. With Clubs and Other Participants

  • Your name and your match and tournament scores may be visible to the players involved, to spectators (e.g. via a shared live link or QR code), and to the respective club.
  • For court reservations, your name and booking details may be shared with the relevant club for verification purposes.

4.2. Legal Compliance

  • We may disclose your information when required by law to protect our rights or to comply with legal proceedings.

4.3. Third-Party Service Providers

  • We use carefully selected third-party providers that process your data solely to deliver their service, including: Stripe (payment processing), Anthropic and Voyage AI (AI rules chatbot), Supabase (hosting and database), KreativMedia (website hosting), Cloudflare (contact-form spam protection and audience measurement), and Firebase (push notifications and analytics).

5. Data Security

We use industry-standard security measures to protect your data from unauthorized access, disclosure, or alteration. Please note, however, that no method of data transmission over the Internet or electronic storage is completely secure.

6. Your Rights

You have the following rights:

6.1. Access and Correction

  • You can access, correct, or update your personal information in your ClubCourts account settings.

6.2. Opt-Out

  • You can opt out of promotional communications by adjusting your notification settings.

6.3. Deletion of Match Data and Chat History

  • You can delete individual match scores from your match history as well as your chatbot conversations.

7. Children's Privacy

ClubCourts is not intended for users under 16 years of age. We do not knowingly collect personal information from children under 16. If you are a parent or guardian and believe your child has provided us with personal information, please contact us, and we will take steps to remove that information from our systems.

8. Changes to this Privacy Policy

We may update this Privacy Policy to reflect changes to our practices or for other operational, legal, or regulatory reasons. We will notify you of material changes through the app or by other means. Your continued use of ClubCourts after such updates constitutes your consent to the updated policy.
